Create a layout that carries your guests comfortably from the wedding breakfast to the evening celebration.

Plan the sequence before the seating plan

Begin with the running order. Where will people gather on arrival, sit for dinner and move when the music starts? If each part of the day uses the same marquee, decide whether the furniture will remain in place or whether a managed changeover is part of the plan.

A layout should support the event you are hosting. A long social meal may need a different emphasis from a short dinner followed by a busy dance floor. Share those priorities with the team before choosing the exact number and shape of tables.

Give every supplier a working space

Ask your caterer about service arrangements and your band or DJ about their required setup area. Confirm the bar specification before drawing it into the plan, including the working space the operator needs. Decorative images rarely show all of those practical requirements.

Place speakers, cables and lighting through discussion with the relevant suppliers. Do not add equipment to a finished plan without checking its effect on guest circulation and the agreed layout.

Make the transition to evening deliberate

If tables are being removed, identify who will move them, when they will do it and where the furniture will be stored. Guests should not be left wondering where to go during a changeover. A reception area or clearly planned pause can make the transition feel like part of the celebration.

Think about guests who prefer conversation to dancing. A quieter seating area can be a worthwhile priority, provided it fits within the agreed capacity and layout. Consider how people will reach the toilets and leave the marquee without crossing the busiest entertainment space.

Review one shared drawing

Ask the team to agree a layout drawing for your event. Use it as the common reference for your caterer, planner and entertainment suppliers. Label the main furniture and equipment so that everyone understands what the plan includes.

Start with our wedding marquee options and bar options. Send the team your seated and evening guest numbers, preferred table style and entertainment plans so that the layout reflects your day rather than a generic example.

Coordinate the bar, furniture and facilities

Agree the bar working space and refrigeration arrangements with its operator. Review the proposed tables, chairs, lighting and other accessories against the same layout, allowing the relevant suppliers to identify their service routes and equipment requirements.

Plan the route to the guest toilets and ask the team about event power if required. Keep these details in the shared brief so the finished layout supports both guests and the people working at the event.
