Plan the change from daylight to evening
Think about the busiest part of your party and where guests will be at that point. A relaxed afternoon reception can become a different event once the music starts and more people arrive. Tell the team your daytime and evening numbers, rather than using only the smaller group to choose a tent.
Decide whether dining furniture will stay in place or move later. If a changeover is planned, agree who will carry it out and where furniture will be stored. That plan should be realistic for the people helping you host.
Give furniture a purpose
Make a short list of the spaces your guests need: somewhere to sit, a drinks point, food service and room for entertainment if it is part of the event. Ask for those elements to be considered together in the proposed tent layout.
A canopy’s headline dimensions do not establish its seating capacity. Pole positions, the proposed configuration and your furniture arrangement affect the usable area. Use the current options in the quote builder to start the discussion, then confirm the layout for your site.
Agree lighting and power with the suppliers
Show your lighting ideas to the team and explain which areas need practical illumination as well as atmosphere. Include the routes to the house, toilets and guest exit in the discussion. Decorative lights alone should not be assumed to cover every working area.
Ask the caterer, bar operator and entertainers for their equipment requirements. Share them with the person arranging power so the supply and distribution can be planned by the appropriate supplier. Do not assume an outdoor socket or extension lead will support the whole event.
Prepare one arrival and collection plan
Give suppliers the exact postcode, entrance instructions and a named contact. Confirm when the tent will be ready for their equipment and whether vehicles have somewhere to wait. At a private home, keep the household’s access needs in that plan too.
Agree when decorations and other hired items will be removed before tent collection. A clear finish avoids leaving the host to coordinate several collections without knowing which supplier needs access first.
Send a useful first enquiry
For an event in Sale, Cheadle, Stockport, Hale, Hale Barns, Northwich or Whitefield, the exact site matters more than the town name. Send the address, date, guest numbers and photographs of the proposed space and approach.
Tell us which items you would like Cheshire Tent Company to provide and which are already arranged. The team can then discuss a suitable setup, availability and the next steps for assessing your site.
